Common questions

A tag won't scan
Hold the tag flat against the back of the phone, near the top, and check NFC is on. The login screen has a Run Diagnostics option that checks the device for you. If one particular tag never reads it's likely damaged — we'll replace it. Clock that person in manually in the meantime so the shift isn't lost.
Someone forgot to clock out
Use Manual Clock, set the date and time, and find the employee by name or code. The entry is recorded as a manual clock, so the history still shows what actually happened.
Someone tapped twice by accident
An admin can void that record so it stops counting. It isn't deleted — if it turns out the tap was real after all, you can bring it back. Nothing in your history is ever permanently removed by voiding it.
The records aren't showing on my other device
The clocking device syncs when it has signal. Give it a moment on data or Wi-Fi and the day's records will appear. Nothing is lost while it's offline.
What exactly do the exports give me?
Two things. The PDF is a timesheet: a summary page listing every employee with days worked and total hours, then a page per employee showing every date in the period with time in, time out and hours. A day where somebody clocked in but never out is highlighted, marked "check", and left out of the total rather than guessed at — and that employee is flagged on the summary page so you know to look. The CSV is the raw records: employee number and name, date, time, the station, whether it was an NFC tap or a manual entry, and a map link to the spot each clock happened. Use the PDF for filing and the CSV for feeding into a payroll system.
I can only see the last 14 days
That's the free version. The paid version opens up your full history and turns on PDF and CSV export.
My account says it's restricted or expired
That means the month hasn't been paid. Message us and we'll sort it out — your records are still there and come back as soon as the account is active.
I need to add another gate or site
Add another clock station in the app and put a phone there. There's no limit on stations, on free or paid.
An employee lost their tag
Program a new fob to them from the employee list. It takes under a minute, and the replacement takes over from the old one.
Which devices can I use?
Run your account from an iPhone, iPad or Mac — that's where the dashboard, history and exports live, and where you add or remove employees. Clock stations run on an iPhone or an Android phone with NFC. Employee tags are written over NFC, so they can only be created on one of those two. On iPhone you need iOS 17.6 or later; an old phone that can't update that far won't run the app.
Who can see my company's records?
You can. Records are encrypted and stored on Google's Firestore cloud platform, and nobody outside Diary SA has access to your company or employee information. A device signed in as a clock station can only see today's clocking at that station — no history, no employee files, no account settings.
How do I get more tags?
Buy them yourself, or message us with how many you need and we'll quote you and ship them. Programming a new tag to an employee takes under a minute in the app.
